Basic RefWorks Training (PubMed and EBSCOhost)
This handout was created for UNMC-affiliated RefWorks users. It provides a pictorial guide to RefWorks' basic features. The guides will show you how to 1) create a RefWorks account, 2) sign into your established Refworks account, 3) customize your account, 4) create folders, 5) view, manipulate and share folders, 5) import records from PubMed, EBSCOhost, or both, 6) edit records, 7) remove duplicate records, 8) add references manually, 9) install Write-N-Cite, and 10) use Write-n-Cite to insert citations and create bibliographies.
Refworks Video Instruction for NRSG 806 - Information Literacy

Produced by Refworks, this online tutorial will guide you through nearly all of Refworks features. Need to know how to format a bibliography from within RefWorks (rather than from within Write-N-Cite), how to insert citations while working off-line, want to insert citations using RefWorks' "One line cite view?" RefWorks online tutorials will give you all the information you need. However, you should refer to the "Basic RefWorks Training" handout listed above and the "Instructions for Importing Records from Various Databases" shown below, or attend a training session given by our Library to get more information about using UNMC's Refworks account from off-campus and for more information about importing records from the specific databases available through our Library.

Instructions for Importing Records from Various Databases

When a direct export to RefWorks feature is not available, you can import records into RefWorks using Refworks "Import" page. To do so:

  1. Save database records in a tagged, plain text format
  2. Open Refworks
  3. Use the Refworks "References" menu to select "Import."
  4. Select the correct "Import Filter/Data Source" (see table below)
  5. Select the correct "Database" (see table below).
  6. Click on the "Browse" button and selecting the tagged, plain text format file saved earlier (step #1)
  7. Click on the "Import" button.

Use the drop-down menu immediately above the result list, on the left-hand side of the page, to select the "MEDLINE" display format.

If you need to import IPA records, contact Cindy Schmidt, cmschmidt@unmc.edu. If Cindy is unavailable, you may need to enter IPA information into RefWorks manually.

Use direct export function for other EBSCOhost databases (see "Basic RefWorks Training" guide available above for instructions).

Web of Science

Check the boxes in front of the records you wish to export.

Use the "Add to Marked List" button on the right-hand side of the page.

Click the "Marked List" button at the top of the page.

In the "Step 1" box, select the fields you wish to include in the exported records. Be sure to include the "Document type" and the "ISSN."

In the "Step 2" box, select the "Field Tagged" format next to the "Save to File" button and then click on the "Save to File" button.

Note where you are saving the file and give the file a name you will be able to remember before saving.

FirstSearch Databases

Check the boxes in front of the records you wish to export.

Click on the "Export" icon above the result list.

In the "Export" field, indicate whether you wish to export all records on the page (1-10) or whether you only wish to export the selected records.

In the "Export to" field, select "RefWorks."

Click the "Export" button. A direct export to Refworks should occur.

If the direct export doesn't work, click on "Text" in the "Export to" field.

OCLC FirstSearch Select the database you used from the list of database shown after you select the "OCLC FirstSearch" data source.
PrimateLit

Check the boxes in front of the records you wish to export.

Click the "Saved Records" button at the top of the page.

From the "Format" drop-down menu, select "PrimateLit,."

From the "Disposition" drop-down menu, select "Print/Save."

Selct "save As" from your internet browser's "File" menu.

From the "Save" dialog box's "Save as type" drop-down menu, select ".txt."

Check the boxes in front of the records you wish to export or, to select all records on a page, click on "Mark" "all on page" link. Continue to the next step when selecting records from entire result list.

Click the "Save, Print, Email " link.

If the RefWorks log-in page doesn't appear, you will need to click on the CSA "click here" link

Log into your RefWorks account.

The references should be imported automatically.

Click the "Save As" button at the top of the SciFinder screen.

A "Save File As" dialog box will appear.

Google Scholar

Go to Google Scholar (http://scholar.google.com/)

Use Google Scholar's preferences link to reach Scholar customization page. In "Bibiography Manager" section, select "Show links to Import Citations into RefWorks."

Click on the "Save Preferences" button.

When viewing Google Scholar search results, use "Import into Refworks" link to save a record in RefWorks.

After you login to your account, the reference will appear in an editing screen.

Review the record, edit as needed, and then click on the "Save Reference" button.
   
HubMed (Humbed can be used to find PubMed records for all references in an electronic reference list)

Go to HubMed at http://www.hubmed.org

Click on the "Citation Finder" link

Paste your reference list into the box.

Click the "Submit" button.

Agree or disagree with the splitting of the references

Revise unmatched citations or delete (if not a reference to a journal article)

Click the "Done" button (repeat until HubMed records appear).


Select records for export.

Click the "Export Citations" button

Click on the "RIS (e.g. for EndNote)" link.

A "File Download" dialog box should appear. You may have to select records and hit the "Export Citations" box a couple times before this happens.

We thought we'd try creating a favorite recipe folder in an effort to give UNMC folks a new way to play with and use Refworks. You can export these recipes to your own RefWorks account. If you would be willing to share your favorite recipes, enter them in your RefWorks account, send Cindy Schmidt (cmschmidt@unmc.edu) a link to your shared Refworks recipe folder and we'll import your favorites into our shared recipe folder . We'll try to add new recipes at least once a month (with or without recipe contributions from outside the Library).

Putting Links to Shared, RefWorks Folders in Blackboard

Creating a Shared Folder:
Creating a shared folder is simple. When working in your RefWorks account, just click on the "Folders" menu, click on "Share Folders" option, and, when the "Sharing" page appears, click the "Share Folder" button next to the appropriate folder. The "Shared Folder Options" page will appear. This page includes the web address that needs to be posted in Black board or e-mailed to students. (You don't have to do anything to this page, just copy the web address.)

Creating a link within BlackBoard to a shared RefWorks folder:
"Unfortunately, RefShare will not open inside Blackboard's inner frame. Consequently, links that open a new window are required. These are simple to create. Here is the .html code needed for a link to a shared folder that I've created. This folder contains records for several articles about infections caused by spider bites:

I've color-coded the html so I can explain which elements are constant and which are changed. The red parts of the .html code are the only constant parts. The -- TARGET="_blank" -- part of the code is the part that specifies the new window. To create a link to a different RefWorks folder, replace the lime green section (the web address of my "spider bite microbiology" folder) with the web address of the new folder . Replace the blue -- Infections caused by spider bites -- with the title of the new folder.

When EBSCOhost's Direct Export to RefWorks Doesn't Work

There are two types of direct export failures. Read more about the types of failures which may occur and ways you can work around these problems at http://www.unmc.edu/library/refworks/directexportfailure.htm.

 

When the "Create Bibliography" Process Takes Forever or Doesn't Complete

Sometimes a specific error message will appear.

  • The most frequent errors are "Cannot Find Reference" errors. Click here for advice on solving a "Cannot Find Reference" problem.
  • If you're using Word 2007 or Windows Vista, the information available at the Windows Vista and Word 2007 web page may be helpful.
  • you may wish to contact Cindy (cmschmidt@unmc.edu, 559-7077, 559-6221) or the RefWorks technical support staff (support@refworks.com) for help. The RefWorks technical support staff frequently offers quick assistance with this type of problem.

If the process is just stalling out and you are using Word 2007 or Windows Vista, click here for information on several alternative, potential solutions to your problem.

If the process of formatting the citations and bibliography just seems to be stalling, you may find it helpful to use RefWorks rather than Write-N-Cite to format your citations and bibilgraphy. For really long documents it's also helpful to avoid the Library's proxy server. This is why the process outlined below involves going to www.refworks.com rather than going to the Library's website.

  1. If you are working with a Write-n-Cite III document, you will need to open the document, open Write-n-Cite III, and use the Write-n-Cite III "Tools" menu to "Revert to WNC v.2 document." After reverting, save the document.
  2. If you are working with a Word 2007 document, use the Word "File" menu to "Save As." Use the "Save As" dialog box's "Save as Type" drop-down menu to select "Word 97-2003" document (or other similar, non-Word 2007 choice) and then hit the "Save" button.
  3. Go to http://www.refworks.com
  4. Click on the "Log-in" button.
  5. Enter the UNMC group code on the page that appears. To access the UNMC group code, click here.
  6. Login to your personal RefWorks account when the log-in page appears.
  7. Click on the "Bibliography" button.
  8. Select the appropriate "output style" from the drop-down menu.
  9. Click on the "Format Paper and Bibliography" radiobutton.
  10. Click the "Browse" button.
  11. A "Choose file" dialog box will appear. Locate and select the document you wish to format and click on the "Open" button.
  12. Click on the "Create Bibliography" button.
 

 

 

Quickest Way to Add a List of Journal Article References to RefWorks

Do you have an electronic reference list (either in a .pdf document, a webpage, or a Word (or other word processing program) document? Give HubMed's batch citation finder a try.

 

Do you need to find and import electronic records for all the journal-article references listed in one of your papers or grants and Hubmed isn't working for you? Perhaps you need to find and import electronic records for every journal article currently stored in your file cabinet (or in a pile on your desk). The quickest method I've found for accomplishing this task is described in a handout at http://www.unmc.edu/library/refworks/importinglonglists.pdf.

Classroom and One-on-One Training by Request

Want to get some hands-on experience with RefWorks in the company of an experienced RefWorks user? Consider requesting a one-on-one training session. These sessions can cover any aspect of RefWorks use that is of interest to you -- from basic to advanced.


If you're forming a research group and want to share references through a shared RefWorks account, consider arranging a RefWorks demo or class for your group.


If you're planning to assign a research paper to your students, consider encouraging your students to use Refworks and then helping them make use of RefWorks by arranging for a RefWorks demonstration, either during or outside of your classs time.
