Using Write-N-Cite III

Those of you who've been begging for a RefWorks upgrade that would make it possible to edit within formatted documents and/or those with Word 2007 or Windows Vista may wish to use WNC III.

Important Warnings

  • WNC III is still being Beta tested so you may encounter unforeseen problems . Please report problems to Cindy(cmschmidt@unmc.edu, 559-7077) or to RefWorks technical support (support@refworks.com).
  • WNC III is only compatible with Windows operating systems.
  • Before working with WNCIII in your old,Write-N-Cite v.2 Word documents, you need to convert the documents to WNCIII. When working on a document with individuals using WNC v.2 you will have to revert documents to WNC v.2 for their use and re-convert to WNC III for your use.
  • While I've outlined some of the important instructions below, I recommend reviewing the document at http://www.refworks.com/Refworks/help/WNC%20III%20Read%20Me.pdf before using WNC III.

Advantages of WNC III:
MS Vista and Word 2007 comparability
Also compatible with Windows XP and Word 2003
Single document formatting -- Your formatted documents contain code and can be edited and reformatted. You don't have to edit within an unformatted document!!!!!
Faster formatting for large documents

To Install WNC III:
1. Log-in to your RefWorks account
2. Click on the "Tools" menu
3. Select "Write-N-Cite"
4. Click on the "Click here to download WNC III (Beta Version)" link
5. When the "File Download" dialog box appears, click on the "Run" button
6. If a "Security Warning" dialog box appears, click on the "Run" button. (Click Run again if another dialog box appears)
7. If asked whether you wish to uninstall the previous version of Write-n-Cite, say "Yes"
8. An automatic installation wizard will appear eventually. Read the text and respond appropriately. This usually involves clicking "Next" several times and then clicking "Finish"

What if you've already started inserting citations in a document using the old version of Write-N-Cite (WNC v. 2.0) or have inserted citations in a document off-line?
If so, you will need to be convert the old Refworks code in your document to WNC III compatible code. ( I would recommend doing this before you begin to insert WNC III citations.)
To convert your document to WNC III format:
1. Open the Word document containing RefWorks code.
2. Save the original document(with its original name) and then use Word's "File" -- "Save As" function to create a document with a different name than the original document. You now have the original copy with the old code in case you decide that you'd like to go back to the old version of Write-N-Cite and a new copy that you can convert to WNC III code.
3. Open WNC III
4. Use the WNC III "Tools" menu to select "Convert to WNC III document"
5. Click the "Convert" button
6. A message telling you of the successful conversion should appear.
7. When you use the WNC III bibliography button to format your document, the document with formatted in-text citations and bibliography will appear.
Unlike the older version of Write-N-Cite, WNC III does not create a new document. Rather it puts the RefWorks code 'behind' the formatted document. You can use the WNC III "Tools" menu to "Unformat citations" in your document if you wish, but you can also just go ahead and edit the formatted document. The new citations you insert will appear in code. Whenever you wish to see the inserted citations formatted, just use the WNC III "Bibliography" button to reformat.

What if I'm working on a manuscript with someone who isn't using WNC III?
What if I want to use the Bibliography creation feature within RefWorks proper?
In either of these situations, you will need to convert/revert your WNC III document to WNC v.2 (the old version of Write-N-Cite). To revert your document:
1. Open your word document.
2. Open WNC III
3. Click on the WNC III "Tools" menu
4. Select "Revert to WNC v.2 Document"
5. Click the "Revert" button

Before you submit a paper for publication.
WNC III (like EndNote or Reference Manager) creates formatted documents that contain code. Most publishers will not accept documents containing such code. Before you submit a paper remove the RefWorks Field Codes as follows:
1. create a second copy of your paper (with a slightly different name) using Word's "File"-"Save As" function
2. Use the WNC III "Tools" menu to select "Remove Field Codes."
3. Click the "Remove Codes" button.
4. You will never be able to reformat this copy of your paper again. Do hold on to the original copy that still contains code in case you want to reformat the paper for a different journal at a later date or in case you wish to cut and paste from the original document into a second document.
