{"id":135373,"date":"2026-09-08T01:52:00","date_gmt":"2026-09-08T06:52:00","guid":{"rendered":"https:\/\/www.unmc.edu\/newsroom\/?p=135373"},"modified":"2026-09-04T17:17:23","modified_gmt":"2026-09-04T22:17:23","slug":"microsoft-data-classification-labels-being-automatically-applied","status":"publish","type":"post","link":"https:\/\/www.unmc.edu\/newsroom\/2026\/09\/08\/microsoft-data-classification-labels-being-automatically-applied\/","title":{"rendered":"Microsoft data classification labels being automatically applied"},"content":{"rendered":"<div class=\"panel body-content\"><div class=\"panel__container\">\n<p class=\"wp-block-paragraph\">UNMC and Nebraska Medicine Information Security will enable Microsoft Data Classification labels to be automatically applied across the med center\u2019s Microsoft 365 environment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This change, which will begin going into effect today (Sept. 8), supports the enterprise-wide effort to identify, understand and protect institutional data in accordance with established policy and regulatory requirements.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This work aligns with:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>IM\u201150 Data Classification, which defines how enterprise data must be classified and protected across UNMC, Nebraska Medicine and the affiliated covered entity.<\/li>\n\n\n\n<li>University of Nebraska Board of Regents policy on risk classification and minimum security standards, which requires data to be classified based on risk and safeguarded appropriately.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>No action is required on the part of users to apply labels<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Information Security will configure Microsoft 365 so that data classification labels are automatically enabled and applied, helping ensure consistent protection across documents and email.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These labels identify the sensitivity level of data, apply appropriate safeguards, and reduce the risk of accidental data exposure.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The labels align directly with the four classifications defined in IM\u201150:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Level 1 \u2013 Public data: Low-risk data that can be shared without restriction, such as job postings, directory information or published research<\/li>\n\n\n\n<li>Level 2 \u2013 Internal data: Moderate-risk data intended for internal use only, such as budgets, departmental procedures and planning documents<\/li>\n\n\n\n<li>Level 3 \u2013 Confidential data: High-risk data requiring authorization to access or store, including personnel records and FERPA-protected information<\/li>\n\n\n\n<li>Level 4 \u2013 Highly restricted data: High-risk data that must be tightly controlled from creation through destruction, such as HIPAA-protected health information, Social Security numbers and credit card data.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Descriptions for each label:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Public\u00a0<\/strong>\u2013 Level 1- Low Risk Access to data can be given without restrictions Examples: Directory information, course information, job postings, published research. This will show up as a <strong>Green Shield<\/strong>.\u00a0<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Internal<\/strong>\u00a0\u2013 Level 2 &#8211; Nonpublic organizational information; low sensitivity. Internal memos, meeting notes, operational documents. This will show up as a <strong>Blue Shield<\/strong>.\u00a0<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Highly Restricted<\/strong>\u00a0\u2013 Level 3 and 4 &#8211; High Risk Data must be controlled from creation to destruction. Only granted access to perform job . Examples: Social Security numbers, credit card information, HIPAA information, or FERPA information. To simplify user experience in Microsoft 365, Level 3 (Confidential) and Level 4 (Highly Restricted) data are represented through Highly Restricted labels with data-specific subcategories. Highly Restricted labels will have a <strong>Red Shield<\/strong>.\u00a0<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li>Highly Restricted: PHI \u2013 PII (HIPAA) \u2013 Regulated health or personal data requiring HIPAA compliance. IE. Patient data, subject identifiers, clinical research data.<\/li>\n\n\n\n<li>Highly Restricted: PCI \u2013 Payment card data requiring PCI DSS controls. Donation processing data, payment authorization forms.<\/li>\n\n\n\n<li>Highly Restricted: FERPA \u2013 Student-related data protected under FERPA. Student research records, academic performance data.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">While the labeling process happens automatically, all users continue to share responsibility for protecting data. Users across the enterprise are expected to handle data in accordance with its classification, share sensitive information only with authorized individuals, use approved systems for storing and transmitting institutional data and report inventories as requested by Information Security.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The new automated labeling process is just one step in protecting the med center\u2019s data, and additional steps will be introduced over time. UNMC and Nebraska Medicine Information Security will continue to provide oversight and standards on the issue.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For more about data classification and data
