EMS Web Application Instructions

Use these instructions to create a single date web request reservation. 

Note: If your booking is within 24 hours, contact roomscheduling@unmc.edu to secure your reservation instead of attempting to book online.

Step 1: Use your web browser to access the EMS web application. 

Step 2: In the top right corner click Welcome, Guest, then click Sign In.

Step 3: Click University of Nebraska Medical Center. Thenlog in using your UNMC NETID credentials or TrueYou login.

Step 4: Next to UNMC Request ALL Rooms (Meetings & Ad-Hoc), click the book now button to request UNMC spaces.

Step 5: Required fields are marked with an * symbol. Complete the Date box, Start Time and End Time boxes, and Create booking in this time zone drop down menu. Next to the Locations field, click Add/Remove to selected the buildings to include in the search parameters.

  • Under the Locations heading, search (all) or click the Add/Remove link to choose the building(s) in which you want to search for rooms.

    - OR -
  • Click the blue Let me search for a Room bar to expand options to search for a specific type of room and features. Click Add/Remove and select the room type(s). For example, you can search for conference rooms and auditoriums that are enabled as UNMC Zoom capable/Web conferencing.

    - OR -
  • Click the blue I Know What Room I Want bar to expand options to search for a specific room name. Click Add/Remove and select the room name.

Step 6: In the search results on the right side of the screen, click a room name to see details about the room. To choose a room, click the green + before the room name.

Step 7: The Attendance & Setup Type dialog box appears. Enter your number of attendees, then click Add Room

The room reservation now appears in your Cart at the top of the screen.

Step 8: In the top right corner, click Next Step.

Step 9: The Services screen appears. If the room you selected allows for additional services, complete the fields on the screen with your event details.

  • Start Time & End Time: When your class/meeting/event starts
  • Special: Instructions for special circumstances
  • Archive: Echo archiving is completed by your department or contact

  • Zoom URL: Full Zoom URL
  • Zoom Passcode: Zoom Passcode to enter conference
  • Presentation Site: Site where presenter will set up
  • Receive Site(s): Sites that will connect to Zoom for viewing
  • If you need technical support, click the Technical Support link to add special instructions to the request.

Click the OK button. Then, click Next Step in the top right corner.

Step 10: The Reservation Details screen appears.

Reservation Details screenRequired fields are marked with an * symbol. Complete the Event Name box, Event Type box, and Group dropdown (select your department or team affiliation, not your name). Your contact information will populate.

Step 11: Click the green Create Reservation button to complete your booking.
