MyRecords Grade Entry

Log in to MyRecords.

From the top menu bar, click Grade Roster.

Next to the class for which you wish to enter final grades, click the Grade Input Allowed link. This link will only be available if UNMC is in a current grading period.

- Enter grades, using one of the following methods:
- By individual student
Click the dropdown menu next to the applicable student's name and select a grade.
- By group of students
- Select a group of students by clicking the checkbox located in front of each student's NUID.
- If all of the students in the class are receiving the same grade, click the Select All link located at the bottom of the page.
- After you have selected the group of students, select the grade to be entered from the dropdown box and click the add this grade to selected students button.
- Important: After you have added the grade, you need to click the Clear All link to unselect the previous students. If you skip this step, the selected students' grades will be overwritten by the next grade you input.
- By Importing grades from Canvas
- By individual student
- Confirm the grades.
- After all grades have been entered, under Grade Roster Action, change the Approval Status dropdown list to Approved. Then, click the Save button next to the dropdown list.
- Review the Official Grade Column to ensure that all grades are correctly listed. Then, click the Save button at the bottom of the screen.
- Click the Post button to post the grades.
Canvas to MyRecords Grade Entry
The Office of Academic Records and UNMC Information Technology have been working with the Nebraska Student Information System (NeSIS) to develop a simple method of importing grades from Canvas into MyRecords. This new process will reduce both the amount of time needed to enter final grades, as well as minimize the potential for data entry error.
Note: If you want to display a letter grade in MyRecords, you will need to set a Grading Schema in Canvas.
Setting a Grading Schema in Canvas
- Login to Canvas.
- In Course Navigation, click the Settings link.
- Click the Course Details tab.

- Click the Enable course grading scheme checkbox.
- To create a grading scheme for your course, or to use a default grading scheme provided by your account, click the set grading scheme link.
- To enable a grading scheme that you have previously created in your course or that was imported using the Course Import Tool, click the view grading scheme link.
- Canvas will show you the Canvas default grading scheme. If you want to select another grading scheme, click the Select Another Scheme link. To view a grading standard, click the title of the grading scheme.
- When you have located the grading scheme you want to use in the course, click the Use This Grading Standard button.
- View your enabled grading scheme. Click the Done button.
Setting your Final Grade to display as a letter grade
You’ll need to enable a Course Grading scheme in Canvas to calculate letter grades.

At the end of the semester, when entering grades in MyRecords, use the new button “Import Canvas Grades” to pull grades from Canvas.
The new page shows the listing of each student along with the Canvas percent grade and the letter grade.
You can edit the letter grade or, if everything looks correct, you simply submit final grades.
PeopleSoft does not have a converter/calculator for percentages. There are only letter grades in PeopleSoft. So, you’ll want to make sure that you’ve set your Canvas course grade to display as a letter grade. This letter grade will auto populate directly in PeopleSoft for you.
Importing Canvas Grades to your MyRecords Grade Roster

Log in to MyRecords.

From the top menu bar, click Grade Roster.

Next to the class for which you wish to enter final grades, click the Grade Input Allowed link. This link will only be available if UNMC is in a current grading period.

The new process has the inclusion of two new buttons, Import Canvas Grades and Canvas Import History.

Click the Import Canvas Grades button. Depending on how many students are in your class it may take several seconds to load the next screen.

The new screen displays a list of your students.

In the Canvas Score column, the current Total score in percentage format from the Canvas Gradebook appears for each student.

If you have enabled a Grading Scheme in Canvas to compute letter grades, there will also be a letter in the Canvas Grade column and the Grade to Assign column. If letter grades are not showing in those columns, you can either manually assign the grade from the dropdown list or go back to Canvas to enable a grading scheme and set your scale. Having the letter grade already in Canvas makes this process very simple.
- In the Grade to Assign column, you can adjust the final grade from Canvas to the correct grade prior to submitting.

If there are no grades listed next to a student, it means that there are no recorded grades for that student in the Canvas gradebook.

At the bottom of the page you might see students listed with the message "(student name) was not found on the grade roster." This is likely from having a student on your roster in Canvas who is no longer enrolled in your Student Information System. If there are names on that list who should be getting graded, please consult the Office of Academic Records.

- Click the Process Import button to complete pulling in the grades from Canvas.

At this point the letter grade either pulled in from Canvas or manually entered by you will display in the Roster Grade column. Double check for any errors and keep in mind that only allowed grades based on student and course type will be permitted. If there are any errors or missing data, it could be because the letter grade you pulled over from Canvas is not an allowed grade in the Student Information System. On this page, you still have the ability to set a different letter grade prior to submitting.

Under Grade Roster Action, set the Approval Status dropdown to Approved. Click the Save button. Then, click the Post button at the bottom of the page.

At this point your grades have been posted. Any changes need to follow typical change of grade procedures.

CourseLeaf Curriculum Information Management System (CIM) Programs and Course Proposals
CIM Course Overview
CourseLeaf Course Curriculum Inventory Management System (CIM-Courses) allows users to propose a new course, propose edits to an existing course, or propose to delete/deactivate an existing course. These proposals are then submitted through the appropriate workflow approval processes where users can edit, approve, or rollback (rollback is making changes to the course proposal within the workflow – not made by the initiator of the proposal). The CIM-Course landing page allows a user to search for and view CIM Courses. From here, you can also see the status of a course and whether it is in workflow. While courses can be modified through the workflow and approval process, they cannot be modified from the CIM- Course landing page until they have completed workflow.
CIM Program Overview
CourseLeaf Program Curriculum Inventory Management System (CIM-Program) allows users to propose a new program/plan/sub-plan, propose edits to an existing program/plan/sub-plan, or propose to delete/deactivate an existing program/plan/sub-plan. These proposals are then submitted through the appropriate workflow approval processes where users can edit, approve, or rollback (rollback is making changes to the program/plan/sub-plan proposal within the workflow – not made by the initiator of the proposal). The CIM-Program landing page allows a user to search for and view CIM Program/Plan/Sub-plans. From here, you can also see the status of a program/plan/sub-plan and whether it is in workflow. While program/plan/sub-plans can be modified through the workflow and approval process, they cannot be modified from the CIM- Program landing page until they have completed workflow.
